1. Scope and roles
This Privacy Policy applies to the EstateOS website, software platform and related support services (together, the “Services”). It applies when you visit our website, request a demonstration, create or use an EstateOS account, or contact us.
When a real estate business uses EstateOS to manage its own leads, customers, properties, agents or other records, that business generally decides why and how that information is used. In that context, the business is the data controller or data fiduciary and EstateOS processes the information on its behalf. Please contact that business first if your information was entered into EstateOS by one of its users.
2. Information we collect
Information you provide
- Account details such as name, work email address, phone number, role, organisation and login credentials.
- Business content such as property records, lead and customer details, notes, tasks, files, images, team assignments and communications entered into the Services.
- Billing and transaction information. Payment-card details may be processed directly by a payment provider and not stored by EstateOS.
- Support, demo and feedback information you provide when you contact us.
Information collected automatically
- Device and usage information such as browser type, operating system, pages or features used, timestamps and referring pages.
- Log and security information such as IP address, authentication events, error records and activity needed to protect the Services.
- Cookies or similar technologies required for sessions, preferences, security and, where enabled, product analytics.
Information from other sources
We may receive information from an organisation that invites you to EstateOS, integrations that its administrator enables, service providers acting for us, or publicly available business sources where permitted by law.
3. How we use information
We use information to:
- provide, operate, maintain and improve the Services;
- authenticate users and administer accounts, roles and permissions;
- process requested transactions and provide customer support;
- send service notices, security alerts and information about requested demos or features;
- monitor reliability, prevent misuse, investigate incidents and protect users;
- comply with applicable laws and enforce our agreements; and
- create aggregated or de-identified insights that do not reasonably identify an individual.
Where applicable, our processing is based on performing a contract, complying with legal obligations, protecting legitimate business and security interests, consent, or another basis allowed by law.
5. Data retention
We keep information only for as long as needed to provide the Services, meet contractual commitments, maintain security and audit records, resolve disputes, and satisfy legal requirements. Retention periods depend on the type of information, the customer’s instructions and applicable law.
When an account is closed or a verified deletion request is completed, information is deleted or de-identified subject to limited retention in backups, fraud-prevention records, transaction records or other records we must keep. See our Data Deletion Instructions.
6. Security
We use administrative, technical and organisational safeguards designed to protect information against unauthorised access, loss, misuse or alteration. These include access controls, authentication, monitoring and protective infrastructure appropriate to the nature of the information.
No service can guarantee absolute security. You are responsible for keeping account credentials confidential, using secure devices and promptly reporting suspected unauthorised access.
7. Your choices and rights
Depending on where you live and how EstateOS is used, you may have the right to request access to, correction of, deletion of, or a copy of your personal information; withdraw consent; object to or restrict certain processing; or raise a grievance.
If an EstateOS customer controls your information, submit your request to that customer. We will assist it as required. If EstateOS controls the information, email hello@yuvathy.in. We may need to verify your identity before completing a request.
You can control non-essential cookies through your browser. Disabling essential cookies may prevent parts of the Services from working.
8. Children’s privacy
EstateOS is a business service and is not directed to children. We do not knowingly collect personal information directly from children. If you believe a child has provided personal information to us, please contact us so we can review and take appropriate action.
9. International processing
We and our service providers may process information in countries other than the one where it was collected. Where required, we use contractual and other safeguards intended to protect information during such transfers.
10. Changes to this policy
We may update this policy as the Services or legal requirements change. We will post the updated version here, revise the “Last updated” date and provide additional notice when required.
